Connect, measure, set limits

Roll out company AI in 15 days

Three steps in 15 days, with no migrations and no six-month projects.

Updated

Days 1–2: we connect

The administrator signs up, invites the team by email and each person validates their account. Teams are set up and you enable whichever models you want to allow. Anyone who already has Google Workspace or Microsoft can connect it and sign in with the corporate account. Your people work exactly as the day before and the IT work is measured in hours, not working days.

Timeline

15 days, no migrations

  1. 01

    Days 1–2 · Connect

Google or Microsoft sign-in, the app on pilot machines and your provider keys.

  2. 02

    Days 3–7 · Measure

Audit mode: everything passes and everything is logged, without text.

  3. 03

    Days 8–12 · Measure

More real usage and the first draft of the report.

  4. 04

    Days 13–15 · Decide

With the report in hand, policies are decided and switched on.

Days 3–12: we measure

Audit mode starts and runs for about ten days. We touch nothing: the system observes, classifies and accumulates the material for the report while the team uses the tool normally.

Days 13–15: we set the limits

We hand you the report and, with it in front of us, we decide together what gets masked, what gets routed to a model hosted in the EU, what gets blocked and which spend caps apply. Policies go live gradually, starting with whatever the report flags as most frequent and most serious.

What is included and what it costs

The rollout is part of the 15-day pilot, which includes rollout, training, support and a final report. Price: €149 up to 25 people, €299 for 26 to 50, and for more than 50 the equivalent of the first month (about €800 for 50 people on Professional) or a tailored quote. It is deducted in full from your first invoice if you sign up within 30 days.

What we need from you

An IT person available on day one, someone from management or legal to decide the policies in the last three days, and letting the team use the tool normally in between. Nothing else.

How the time is spent

The first two days are for connection and need one IT person for a few hours. Days 3 to 12 need nothing from your side beyond using the tool normally. Days 13 to 15 are the decision meeting: with the savings and risk report on the table, the policies and caps come out.

What you take away at the end of the month

A savings and risk report. On one side: which AI subscriptions you are paying for and for how many people, how many are genuinely used, which tasks are going to a model more expensive than they need, and what share of the work could run on open or low-cost models. On the other: what sensitive data would have left, and how often. It is the document you decide with, and it is yours even if you do not continue.

What is running at the end

Single sign-on with the corporate account, teams created, models enabled, the perimeter in active mode with the policies decided, spend caps, and the metrics panel and evidence log up and running.

Frequently asked questions

How much does the rollout cost?

The rollout is part of the 15-day pilot: €149 up to 25 people, €299 for 26 to 50, and for more than 50 the equivalent of the first month (about €800 for 50 people on Professional) or a tailored quote. It is deducted in full from your first invoice if you sign up within 30 days.

How long does it take to roll out Acotia?

15 days of pilot: connection on days 1 and 2, measurement in audit mode from day 3 to day 12, and policy decisions on days 13 to 15. IT work is concentrated on day one.

What is in the report at the end of the pilot?

Which AI subscriptions the company pays for and for how many people, how much is genuinely used, which tasks go to a model more expensive than needed, what could run on open or low-cost models, and what sensitive data would have left unchecked.

Does anything have to be installed on devices?

Each person uses the Acotia desktop app. That is where data is masked before it leaves and where chats are stored encrypted.

Do I need to migrate my current models or accounts?

No. We do not ask you to migrate anything or change models. The company chooses which models to enable and the team signs in with its corporate account.
